Summary of position:
Under the direct supervision of the Common Service Officer the range of duties may include but not limited to:

• Operating the central telephone switchboard;
• Receiving and dispatching all mail/correspondence;
• Providing general information to visitors and answering general inquiries, including for the consular program;
• Controlling access to the Consulate General, ensures that the reception lobby is in good order, and upholds the security policy;
• Supporting ongoing program activities in the Common Service section;
• Undertaking research and preparation of documents;
• Performing administrative duties as required (e.g. data entry, filing, scanning, internet searches);
• Providing logistics support for official events and other mission activities;
• Communication, both verbal and written, should be excellent with good phone etiquette, and fluent English, and Turkish language skills.

Essential qualifications:
Candidates will initially be screened against the Essential Qualifications relating to education, experience and language. Candidates must clearly demonstrate in their cover letter and CV how they meet each of these essential qualifications.

Education:
• University degree or equivalent diploma from a recognized institution or an adequate combination of education and relevant* professional experience.

*Relevant experience is defined as a minimum of 1 year of recent* experience in a position with a client service focus. Experience working in an office environment. Experience working on a PC in a network environment, particularly preparing spreadsheet reports. Experience in providing client service direct to the general public.

Experience:
• 1 year of recent* experience working in an office environment as a receptionist or administrative support;
• 6 months of recent* experience working with clients (internal or external);

* Recent experience defined as within the last five (5) years.

Language:
• Fluency in English, spoken, written and comprehension
• Fluency in Turkish, spoken, written and comprehension

You must provide evidence of your English language ability as follows:
• Proof of graduation from an English language medium high school, or
• Proof of graduation from an English language medium university, or
• Proof of at least one year of recent continuous work experience in an office where English was the principal language of work.**

** Recent is defined as being in the last five years.

Rated Requirements:
The Rated Requirements relating to knowledge, abilities and competencies will also be assessed. Methods of assessment may include, but are not limited to, a written examination, an oral interview, role-play, practical tests, presentations and/or psychometric assessment.

• Knowledge of general administrative principles, including but not limited to filing, office organizational procedures, generally accepted meeting, email & phone etiquette, etc.

Asset Qualifications:
Preference may be given to candidates who meet the Asset Qualifications. Candidates must clearly demonstrate how they meet these factors in their cover letter.

Language:
• The ability to work in French at an intermediate level in reading, writing, listening, speaking.

Experience:
• Experience with a diplomatic/consular entity or international organization;
• Work experience in Canada or in an organization with Canadian clients;
• Provide effective client service in person, by telephone, and electronically.

Organizational Needs:

Operational Requirements:
Must be able and willing to work directly with the public;
• Willingness and ability to undergo training;
• Annual leave may be restricted due to operational needs;
• Must be able to work overtime on short notice on occasion (compensated);
• Must be available for occasional duties outside normal working hours (i.e., evenings and weekends).
• Ability and willingness to travel, including internationally.
• Adhere to Canada’s Code on Values & Ethics

Condition(s) of Employment:
• Right to work and live legally in Turkey
• Able to obtain and retain an enhanced reliability clearance
