Summary of position:
Under the direction of the Material Management Supervisor, is responsible for planning, administering and controlling the mission distribution accounts for all office equipment and tools, furniture and furnishings, house hold equipment and appliances, located in the Chancery, Official Residence and in the over 70 Crown-owned and Crown-leased properties in Beijing in accordance with the Manual of Material Management. Co-ordinates and arranges the furniture & furnishing aspects for the initial fit-up of newly leased staff quarters and during the move of Canada-Based Staff on summer change-overs and for the increased staff. Assists the Material Management Supervisor to supervise and control the dry cleaning, re-upholstering, equipment repairing service contractors of the Embassy. Assists the Material Management Supervisor to plan, organize and supervise the maintenance and disposal of equipment and furnishings. Perform other duties as required and replaces the Material Management Supervisor during his absences.

Essential qualifications:
• Bachelor’s degree from university, OR an acceptable equivalent through the combination of education and work experience

• Proficiency in English (reading, writing and speaking)
• Proficiency in Mandarin (reading, writing and speaking)

• Experience in performing general administrative duties
• Experience in providing client service
• Experience in inventory management

• Knowledge of MS Office Tools, including Outlook, Word, Excel and PowerPoint
• Knowledge of standard office procedures and practices
• General knowledge of inventory management

• Ability to write effective business correspondence in English and Chinese
• Ability to plan and organize workflow and to coordinate information

Organizational Needs:

Operational Requirements:
• Ability and willingness to work overtime on short notice as required
• Able to travel domestically and internationally as required
• Able work outside of the office

Condition(s) of Employment:
• Ability to obtain and maintain a valid working authorization in China. Per Chinese regulations, the Embassy / Consulates can only facilitate working visas for Canadian citizens
• Ability to obtain and maintain a valid “Reliability Status” security clearance

Area of selection:
This position is open to external applicants residing in China who meet all of the essential qualifications and whose applications are received by the closing date. Short-listed candidates should be able to participate in tests and/or interviews in Beijing at own expense. The successful candidate will be required to relocate to Beijing at own expense.
