Summary of position:
The Residential Property Coordinator is responsible and accountable for providing coordination and administration services in support of the High Commission of Canada’s portfolio of over 60 Crown-owned residential properties across London. The duties include:
• Developing and implementing a preventative maintenance program
• Planning, organizing and implementing a materiel management program (e.g., furniture, furnishings, appliances, inventories)
• Acting as the main contact for incoming CBS assigned to certain SQs, ensuring the SQ is ready for occupation, liaising with the new occupants during settling in
• Liaising with tenants and responding to tenant requests
• Inspecting properties and meeting with occupants to flag up deficiencies and developing plans of action for the repair of items identified
• Contracting for construction and maintenance services, liaising closely with contractors, and performing quality control function
• Financial and administrative tasks.

Essential qualifications:
Candidates will initially be screened against the Essential Qualifications relating to education, experience and language. Candidates must clearly demonstrate in their cover letter and CV how they meet each of these essential qualifications.

Education:
• A Levels or equivalent

Language:
• Fluent in English (oral, written, comprehension)

Experience:
• Minimum of 1 year recent* experience working in any of the following areas: property/estate management, materiel/inventory management, building/construction contract administration, tenancy services, procurement and coordination of work of building/construction contractors.
• Minimum 1 year recent* experience working with GAC’s Finance and Administration System (FAS, previously called IMS)
*Recent is defined as within the last 5 years.

Asset Qualifications:
The Rated Requirements relating to knowledge, abilities and competencies will also be assessed. Methods of assessment may include, but are not limited to, a written examination, an oral interview, role-play, practical tests, presentations and/or psychometric assessment.

Operational Requirements:
• Overtime and weekend work may be required on occasion

Condition(s) of Employment:
• Hours of work will be 37.5 hours per week, worked Monday to Friday at a time to be agreed with the supervisor.
• Any job offer is subject to receipt of satisfactory employment and character references and the ability to obtain and maintain a Reliability Status (RS) security screening (including a criminal record check).
• Copies of educational qualifications will be required at the interview stage of the process.
• Successful candidates must have a valid passport and the required documentation allowing the right to work in the UK. Documentation will be required.

Area of selection:
Open to all indeterminate and term locally engaged employees at the High Commission and Canada Based Spouses who are currently resident in the UK, who hold current documentation allowing them to work in the UK without restriction, who meet all of the essential requirements stated and whose applications are received by the closing date. Candidates holding documentation/visas not renewable in the UK such as the Youth Mobility Visa will only be eligible if the expiry date of the visa is later than the termination date of employment (as minimum to be past October 2022).
