Summary of position:
Provides clerical support services in support of the delivery of the Immigration, Refugees and Citizenship Canada (IRCC) program. This includes entering and validating information in departmental on-line systems; reviewing applications and documents; identifying shortcomings including incomplete applications, missing, or irregular information.
This may include providing routine information and assistance to internal and external clients to facilitate their compliance with requirements, or their understanding of application processes.

Essential qualifications:
Candidates will initially be screened against the Essential Qualifications relating to education, experience, computer skills, and language. Candidates must clearly demonstrate in their cover letter and CV how they meet each of these essential qualifications. Candidates who do not demonstrate that they meet each of these essential qualifications will not receive further consideration.

Education:
• A diploma* or certificate* from a recognized post secondary institution OR
• A national certificate (Matric) and at least 3 years of experience in each of the categories listed in the experience qualification below.
*NQF level 5 or above

Language:
• Fluency in English (oral & written)

Experience:
• Minimum of 2 years’ experience working in an office environment in an administrative support capacity.
• Minimum of 2 years’ experience in liaising and working with clients (internal or external), partners or stakeholders.

Rated Requirements
The Rated Requirements relating to knowledge, abilities and competencies will be assessed using a variety of methods that may include, but are not limited to, a written examination, an oral interview, role-play, practical tests, presentations and / or psychometric assessment.

Knowledge:
• Knowledge of standard office procedures & practices such as maintaining records, files, lists, and databases, drafting correspondence, reports, letters and routine financial documents, etc.

Abilities:
• Ability to communicate clearly and convey information effectively orally and in writing.
• Ability to work under pressure and use initiative to plan, organize, and prioritize multiple tasks.
• Ability to effectively use Microsoft Office (Word, Excel, Outlook Mail), and web search engines.

Asset Qualifications:
Preference may be given to candidates who have the following asset qualifications. If candidates meet the factors listed in the asset qualifications, they must also clearly demonstrate how they meet these factors in their covering letter and CV.
• Working knowledge of Canada’s Immigration and Refugee Protection Act & Regulations
• Proficiency in French (written and oral)

Organizational Needs:


Operational Requirements:
• Overtime may be required
• Ability to travel within Southern Africa
• Physical effort is required to sit for long periods when working on files
and performing keyboarding functions.
• Regular requirement to bend and lift to place/retrieve files or to assist clients with bio-data gathering (ex. placing client’s hand on screen for finger printing).
• The work requires sustained focus to apply quality control while reviewing documentation (applications, requests, legal documents, etc.) and conducting data entry.
• The work may be subject to fluctuating and conflicting priorities and unpredictable demands or issues.
• Application details and interactions with clients especially for refugee cases, may cause psychological distress.

Condition(s) of Employment:
• Applicants must be a South African citizen, holder of a valid South Africa permanent residence permit or a recognized dependant of a Canadian diplomat accredited to South Africa. (The High Commission of Canada does not sponsor work authorizations directly or indirectly).
• Able to obtain and maintain a Government of Canada Reliability Status Clearance, which includes a criminal and credit background check. The Reliability Status Clearance must be maintained throughout employment at the High Commission. Failure to do so may result in dismissal.
• Ability to meet the medical requirements as defined by the employer.
• Before an offer of employment can be made, candidates must provide a local address as proof of residence in the specific city, region or country so that if selected, it will appear on the offer letter.
