Summary of position:
Under the supervision of the Head of Cooperation (FS-03), the successful candidate will provide administrative support services in English to the Head of Cooperation, the development section, and the Head of Mission in the following tasks:

• Making photocopies; receiving telephone calls and visitors; preparing materials such as reports, letters, charts and financial documents in accordance with departmental regulations; making travel and accommodation arrangements; scheduling meetings and appointments and assisting with pre-visit, Canada Based Staff (CBS) arrival arrangements and hospitality events.
• Provide advice regarding office supplies orders and recommend changes on procedures and practices to meet changing or new situations.
• Track budget and make recommendations on travel arrangements.
• Process payments, maintain records of expenditures, receipts, disbursements and funds balances and provide related reports.
• Researches and compiles information, verify submitted documents for completion, enters data in computerized systems and maintains records, files, lists and databases.
• Maintains contacts with representatives of the local government, other missions, local and multilateral organizations and/or private sector to ensure the Mission’s compliance with procedures and regulations and to obtain early notification of impending changes.
• Provide information on procedures, appropriate forms or document requirements, responds to inquiries related to services and/or makes reference to appropriate authorities.
• Monitor and report on communications related to the program on social media.
• Support committees and working groups by preparing documents, scheduling meetings and helping with events and travel planning and coordination.
• May perform other duties as required.

Essential qualifications:
Candidates will initially be screened against the Essential Qualifications relating to education, experience and language. Candidates must clearly demonstrate in their cover letter and curriculum vitae (CV) how they meet each of these essential qualifications.

Education:
• Graduation with a bachelor’s degree in any discipline from a recognized university. Candidates must always have a degree.

Language:
• Fluency in English (Oral and Written) at an advanced level.

Experience:
• Minimum of three years of administrative experience supporting a team;
• Experience working for an international organization or diplomatic mission in the last three years;
• Experience in a job with the following duties:
• Working with external clients responding to queries and providing information;
• Contact and record management;
• Administrative support related to budgets and accounting procedures.

Rated Requirements

The Rated Requirements relating to knowledge, abilities and competencies will also be assessed. Methods of assessment may include, but are not limited to, a written examination, an oral interview, role-play, practical tests, presentations and/or psychometric assessment.

Knowledge:
• Some knowledge of the international development
• Strong knowledge of Microsoft Office (Word, Excel, Outlook, PowerPoint)
• Knowledge of standard office procedures and practices

Asset Qualifications:
Preference may be given to candidates who meet the Asset Qualifications. Where applicable, candidates must clearly demonstrate how they meet any asset qualifications in their cover letter and CV.

• Graduation with a master’s degree in international development, political science, business administration
• Working knowledge of French (Oral and Written)

•Ability to occasionally do overtime on short notice and/ or weekends.

Condition(s) of Employment:
• Candidates must have a valid work authorization covering the entire employment period. If the employment is indeterminate, the work authorization should be permanent or itself lead to a permanent work authorization.
• Before an offer of employment can be made, candidates must provide a local address as proof of residence in the specific city, region or country so that if selected, it will appear on the offer letter.
• Obtain and maintain a reliability rating (security clearance) from the Government of Canada covering the entire employment period.
