Summary of position:
Working in the international business development team of the Embassy of Canada in Bangkok, Thailand under the direction of the Senior Trade Commissioner, the incumbent is responsible for supporting the trade section in the delivery of its multiple services to clients and stakeholders.

This position provides support to Trade Commissioners over a wide range of sectors and involves diverse and dynamic tasks, including managing logistics at trade shows and other events, financial support, client relations, and many others. It requires a high degree of flexibility and drive, and is a great entry point into the Trade Commissioner Service and its work.

The incumbent provides traditional administrative support services such as: (1) clerical duties including receiving telephone calls and visitors, preparing materials such as reports, letters, and charts, as well as making travel and accommodation arrangements, scheduling meetings and appointments and assisting with pre-visit arrangements and hospitality events; (2) Providing advice regarding supplies, recommending changes on procedures and practices to meet changing or new situations; (3) Tracking budgets, processing payments, maintaining records of expenditures, receipts, disbursements and fund balances, and providing related reports; (4) Researching and compiling information, maintaining records, files, lists, and databases.

In addition, the incumbent also provides a wide range of logistic and financial management support to several Trade Commissioners in the organisation of specific activities such as webinars, trade missions, trade show pavilions and related events, etc. It also involves engaging with a wide range of stakeholders both in Thailand and in Canada such as TCS clients, service providers, event organisers, counterparts in the private and public sector, etc.



Essential qualifications:
ESSENTIAL QUALIFICATIONS

Candidates will initially be screened against the Essential Qualifications relating to education, experience and language. Candidates must clearly demonstrate in their cover letter and CV how they meet each of these essential qualifications.

Education
• Bachelor’s or equivalent degree from a recognized university in a field related to the position, OR an acceptable combination of education, training and work experience.

Language
• Proficiency in English (oral and written)
• Proficiency in Thai (oral and written)

Experience
Minimum two years recent* working experience in an office environment:
• Experience in events, visits, meetings and/or conference logistics.
• Experience in organizing business travel.
• Experience in providing administrative support.
• Experience in providing budgetary support.
• Experience in providing client service to colleagues/clients/stakeholders.

* Recent experience is defined as normally acquired within the last five (5) years

RATED REQUIREMENTS

The Rated Requirements relating to knowledge, abilities and competencies will also be assessed. Methods of assessment may include, but are not limited to, a written examination, an oral interview, role-play, practical tests, presentations and/or psychometric assessment.

Asset Qualifications:
Preference may be given to candidates who meet the Asset Qualifications. Where applicable, candidates must clearly demonstrate how they meet any asset qualifications in their cover letter and CV.

• Significant experience in a similar role in a diplomatic mission or an international organization

Operational Requirements:
• Hours of work 37.5 hours per week: Mondays-Thursday: 07:30 to 16:15; Fridays: 07:30 to 13:00;
• Must be able and willing to work overtime, as operationally required;
• Please note the Embassy operates a schedule of public holidays according to a combination of Thai and Canadian dates, which means you will be required to work on certain Thai holidays.
• The employee is able and available to work on a full time basis at the mission or mission designated location, including working from home; and,
• The employee is able to be physically present in the office as required.



Condition(s) of Employment:
The successful candidate must:
• Have a valid “Reliability Status”. A security check is required prior to appointment as well as a medical examination. The required level of security clearance must be maintained throughout the employment period;
• Have the ability to maintain a valid working authorization in Thailand for the duration of the employment term. If applicable, proof of Visa is required.
• All new hires on or after the effective date of October 6, 2021 are required to be fully vaccinated against COVID-19 as a condition of employment and to attest that they are fully vaccinated prior to their starting date unless accommodation measures are granted.
