Summary of position:
This position provides support to Trade Commissioners over a wide range of sectors and involves diverse and dynamic tasks, including managing logistics at trade shows and other events, financial support, client relations, and many others. It requires a high degree of flexibility and drive, and is a great entry point into the Trade Commissioner Service and its work. The incumbent provides traditional administrative support services such as:
• clerical duties including receiving telephone calls and visitors, preparing materials such as reports, letters, and charts, as well as making travel and accommodation arrangements, scheduling meetings and appointments and assisting with pre-visit arrangements and hospitality events;
• Providing advice regarding supplies, recommending changes on procedures and practices to meet changing or new situations;
• Tracking budgets, processing payments, maintaining records of expenditures, receipts, disbursements and fund balances, and providing related reports;
• Researching and compiling information, maintaining records, files, lists, and databases. In addition, the incumbent also provides a wide range of logistic and financial management support to several Trade Commissioners in the organisation of specific activities such as webinars, trade missions, trade show pavilions and related events, etc.


Essential qualifications:
Candidates will initially be screened against the Essential Qualifications relating to education, experience and language. Candidates must clearly demonstrate in their cover letter and CV how they meet each of these essential qualifications.

Education:
• Successful completion of post-secondary diploma/certificate on relevant fields OR an acceptable combination of education and relevant work experience.

Language:
• Excellent written and spoken English; and
• Fluency in spoken Cantonese and written Chinese.

Experience:
• Minimum of 1 year work experience in an office environment;
• Experience working with social media platforms;
• Experience in Event planning and organization;
• Experience in an administrative function (e,g, meeting coordination, correspondence, transportation coordination, financial management and ability to support at least three people);
• Experience using Microsoft Office or comparable (Outlook, Word, Excel, Power Point) and web-based applications in an office environment; and
• Experience working in a team environment.

Rated Requirements:
The Rated Requirements relating to knowledge, abilities and competencies will also be assessed. Methods of assessment may include, but are not limited to, a written examination, an oral interview, role-play, practical tests, presentations and/or psychometric assessment.

Knowledge:
• The Canadian economy;
• Methods of extracting and manipulating information from statistical databases;
• PC skills - Microsoft Outlook, Internet Browser, Word, Excel, PowerPoint; and
• Social networking platforms such as Facebook, Twitter, LinkedIn, and Youtube.

Abilities / skills:
• Ability to conduct background research on commercial matters;
• Ability to take direction and follow instructions;
• Ability to work effectively in a high pressure environment;
• Ability to multitask and juggle several tasks at once and be able to prioritize as required;
• Ability to communicate clearly, orally and in writing in English and Cantonese; and

Asset Qualifications:
Preference may be given to candidates who meet the Asset Qualifications. Where applicable, candidates must clearly demonstrate how they meet any asset qualifications in their cover letter and CV.

• Graduation from a recognized university with a bachelor’s degree or equivalent;
• Fluency (written/spoken) in French and/or Mandarin;
• Experience using electronic customer relationship management software (eCRM);
• Knowledge of Hong Kong’s governmental and business environment;
• Knowledge of the Canadian Trade Commissioner Service, its role, mandate, service standards, tools and policies;
• Knowledge of international business development practices, as they relate to the Consulate General of Canada in Hong Kong; and
• Abilities to liaise with IT professionals in managing an on-line marketing platform through web and mobile networks.

Operational Requirements:
• Hours of work: Mondays-Thursdays: 08:30 to 17:30; and Fridays: 08:30 to 13:00;
• Hours of work are subject to change;
• Must be able to work overtime on short notice on occasion;
• Must be available for occasional duties outside normal working hours (i.e., evenings and weekends); and
• Ability and willingness to travel, including internationally.


Condition(s) of Employment:
• Successful candidates must possess a valid work authorization or otherwise be permitted to work legally in Hong Kong with any employer by the closing date and for the duration of the employment period;
• Successful candidates must be able to obtain and maintain a valid security clearance / Reliability Status (RS).
The appointment of the successful candidate will be subject to obtaining Reliability Status (RS). To conduct the RS process, the successful candidate must submit the following documents on being selected by the Mission:
• Completed Reliability Status Check forms (provided by the Consulate General);
• Consent form for Reliability Status Check – for local criminal record check and Canada’s vetting/evaluation (provided by the Consulate General);
• Proof of address from your bank or other recognized companies stating your name and your address;
• Professional and education mark sheets or certificates;
• Letters of reference;
• Reference checks – from three referees;
• HKID card or valid work permit;
• Passport photo x 1;
• Credit check results;
• Other documents as required.
