Summary of position:
The Common Services Program is responsible for the effective and efficient management and operations of the mission through the provision of high quality administrative support to one or more of the following services in at the mission, Property and Material Maintenance, Contracting and Procurement, Accounting and Finance, Events Coordination, Fleet Coordination, Human Resources, Mail Room and Protocol and Customs. The Common Services Assistant (HR) is an administrative support position that delivers a wide range of human resource services for locally-engaged and Canada-Based staff. The position typically reports to the Deputy Management Consular Officer or Management Consular Officer. Work is performed under general supervision.

Essential qualifications:
Candidates will initially be screened against the Essential Qualifications relating to education, experience and language. Candidates must clearly demonstrate in their cover letter and CV how they meet each of these essential qualifications.

Post secondary Degree (program of minimum 3 years) or at least 5 years of related experience

Fluency in English (oral and written)

At least two (2) years of experience providing administrative support services to a diverse team in a professional office environment;
Experience providing advice and guidance to clients

Rated Requirements
The Rated Requirements relating to knowledge, abilities and competencies will also be assessed. Methods of assessment may include, but are not limited to, a written examination, an oral in-person, remote or recorded interview, a role-play, practical tests, a presentation and/or psychometric assessment.

Knowledge of general administrative principles, including, but not limited to, information management principles, office organizational procedures.
Knowledge of and proficiency in computer software and systems, including MS Office.
Knowledge of the Terms and Conditions of employment at the High Commission of Canada in Jamaica

Ability to exercise good judgment, and to solve problems
Ability to prioritize tasks and manage a variety of responsibilities and shifting priorities as required to meet targets and deadlines
Ability to establish and maintain effective and professional interpersonal relationships with clients, colleagues, and supervisors
Effective interactive communication (oral & written)
Demonstrated ability to create and maintain spreadsheets and to work with established processes.

Operational Requirements:
Normal hours of work for this position are in accordance with the Locally Engaged Staff (LES) regulations of 37.5 hours per week.

Condition(s) of Employment:
Candidates must have a valid work authorization covering the entire employment period. As the employment is indeterminate, the work authorization should be permanent or itself lead to a permanent work authorization.
Before an offer of employment can be made, candidates must provide a local address as proof of residence in Jamaica so that if selected, it will appear on the offer letter.
Obtain and maintain a reliability rating (security clearance) from the Government of Canada covering the entire employment period which includes a criminal record check, credit check, and validation of qualifications.
All new hires on or after the effective date of October 6, 2021 are required to be fully vaccinated against COVID-19 as a condition of employment and to attest that they are fully vaccinated against COVID-19 prior to their starting date unless accommodation measures are granted.
