Summary of position:
Under the general supervision of the Deputy Commanding Officer of Canadian Defence Liaison Staff, Washington [CDLS (W)], Support Unit, the Visits and Accreditation Coordinator manages the accreditation of all military Attachés and provides the security certification for all Canadian Armed Forces (CAF) members posted in the U.S. and abroad who seek access to any U.S. Department of Defense facilities.

The Visits and Accreditation Coordinator is CDLS (W)’s main conduit between the Pentagon’s Foreign Disclosure Offices (FDOs), U.S. Defense Threat Security Agency, and the FDOs at all U.S. military installations. The incumbent works closely with various U.S. stakeholders on overarching policy relating to the presence of CAF members posted at various U.S. Department of Defense entities. The Visits Coordinator also acts as liaison between Canadian personnel and U.S. personnel with regard to the preparation and finalization of Visit Clearance Requests/Foreign Visits Requests (VCR/ FVR) and Extended Visit Authorizations (EVA) which grant base access and are official proof of security clearances.

In addition, the incumbent administers the Attaché Accreditation program between the Canadian Department of National Defence (DND), the U.S. Department of Defence (US DoD) and the respective military components.

Other duties include:
• Providing briefings in front of large audiences;
• Working closely with an assistant; and
• Filling-in for the Protocol Coordinator when absent.

Essential qualifications:
Candidates will initially be screened against the Essential Qualifications relating to education, experience and language. Candidates must clearly demonstrate in their cover letter and CV how they meet each of these essential qualifications.

Secondary school diploma or higher

Fluent in English (oral and writing)

• Minimum of three (3) years of experience in office administration in a corporate or government organisation;
• Experience providing service to both internal and external clients addressing time sensitive, policy-related and/or procedural issues;
• Experience in coordinating logistics for travel, visits and/or accreditation; and
• Experience with research and making recommendations to management.

Rated Requirements
The Rated Requirements relating to knowledge, abilities and competencies will also be assessed. Methods of assessment may include, but are not limited to, a written examination, an oral in-person, remote or recorded interview, a role-play, practical tests, a presentation and/or psychometric assessment.

o K1-Strong knowledge of MS Office (Word, Excel, PowerPoint) and database management
o K3-Knowledge of Foreign Visit Requests procedure, experience using Foreign Visits System, and/or experience interpreting US Department of Defense regulations, policies, and procedures

Asset Qualifications:
Ability to speak in French would be great but not required

Operational Requirements:
• Normal hours of work for this position are in accordance with the Terms and Conditions of Employment for Locally Engaged Staff (LES) in the United States of 37.5 hours per week.
• The employee must be willing and able to work occasional overtime on evening and weekends, as required.

Condition(s) of Employment:
• Eligibility for a Government of Canada Reliability Status which includes a criminal and credit background check;
• Have authorization to work in the United States in a foreign mission (US Citizens, Legal Permanent Residents or A, G or NATO-2 category visa-holders);
